Privacy conditions — 31st August 2026

  1. Electronic Health Record

    1. LinkedCare offers Physician Users of the LinkedCare application an Electronic Health Record functionality, through which they can manage their patients comprehensively, including modules such as: Summary, Patient Record, Problems, Consultations (SOAP), Medication, Allergies, Biometric, Vitals, Analyses, Exams, Vaccines, Lifestyle, and Documents.
    2. The User (by definition a physician) undertakes to use this functionality in full compliance with all applicable legal and regulatory requirements and in accordance with the rules defined by the competent entities.
    3. It is the exclusive responsibility of the User physician to observe all formalities with the competent entities related to use of the Electronic Health Record functionality. In particular, it is the responsibility of the User physician to ensure their processing of patients' personal data complies with India's Digital Personal Data Protection Act, 2023 (DPDP Act) and with the terms of any authorisations, directions, or records issued by the Data Protection Board of India or other competent authority.
    4. LinkedCare only provides the Electronic Health Record functionality in its application, with no interference in the content of records made by Physician Users through this functionality. The information entered, and all consequences of using this feature, are the sole responsibility of the User physician.
    5. Within the relevant benefits offered by the LinkedCare application, a User physician may provide other doctor Users of the LinkedCare application with access to health data included in their Electronic Health Records, provided this is done with the express authorisation of the data subject (a patient User of the mylinkedcare application), and in full compliance with applicable legal and regulatory rules, including the DPDP Act.

  2. 'Assistant' User Profile (Administrative Employee)

    1. To facilitate clinical activity for doctor Users of the LinkedCare application, LinkedCare has also developed an Assistant user profile (administrative collaborator), more limited in features and dedicated to administrative management of the doctor User's practice — namely: creation and management of patient records, agenda management and appointment scheduling, issuance of administrative documents, and management of documents and payments/receipts.
    2. Registration of Assistant users can only be done through an invitation made by a doctor User of the LinkedCare application. A doctor User may send registration invitations to one or more Assistant users, who will be associated with that doctor User. Invitations can be sent from the doctor User's account configuration menu.
    3. The functionalities and data each Assistant user can access are the sole responsibility of the doctor User, who is solely responsible for how each Assistant uses that access. Access management is done from the doctor User's account setup menu. Health data of a doctor User's patients can never be accessed by that doctor User's Assistant users.
    4. A doctor User may cancel the association with an Assistant user at any time, after which the Assistant no longer has access to functionalities and data related to that doctor User's practice.

  3. Agenda and Consultation Management

    1. LinkedCare provides doctor Users with features to manage their medical practice, including calendar and appointment management. Doctor Users can publish availability for appointments — in person, online (video or voice only), or by telephone — enabling citizens using the mylinkedcare application to book appointments simply and effectively. For online consultations, the LinkedCare application also serves as the technological means to support them.
    2. The User (necessarily a doctor) undertakes to use these functionalities in compliance with all legal and regulatory requirements and the rules defined by competent entities, including tax, contributory, deontological, or other obligations applicable to their professional activity, and assumes full responsibility for the consequences of any non-compliance.
    3. It is the exclusive responsibility of the doctor User, when processing health data relating to third parties (namely their patients), to ensure authorisations are obtained from competent entities, as well as the informed consent of the data subjects, in accordance with the DPDP Act.
    4. Through their account configuration menu, doctor Users can define, for each consultation type (in person, online, or by telephone), the duration and price — whether under private health care plans or without any such arrangement. LinkedCare does not interfere in a doctor User's definition of consultation times and prices; these are the doctor User's exclusive responsibility, as is compliance with the durations they define.
    5. LinkedCare cannot be held responsible for cancellations, delays, or other situations that make it impossible, wholly or partly, to complete appointments made through the agenda management functionality, regardless of the reason — whether attributable to doctor Users, citizen Users of the mylinkedcare application, or issues with the functioning of the LinkedCare or mylinkedcare applications.
    6. The LinkedCare application is an online application accessible via hardware and software with a functional internet connection through a browser, as is the mylinkedcare application. Some features (for example, online consultation) require equipment enabling video communication (image and sound). LinkedCare is not responsible for providing Users with devices, hardware, software, licences, or subscriptions needed for internet access or use of these applications' features — obtaining and using these is the exclusive responsibility of each respective User.
    7. LinkedCare only provides the functionalities described above and does not interfere with the content of the agenda made available, nor with communications between doctors and citizen Users during consultations. The information provided, and all consequences of using these functionalities, are the exclusive responsibility of the doctor User.

  4. Electronic Prescription

    1. LinkedCare provides doctor Users with an electronic prescription functionality, ensuring compliance with applicable technical and legal requirements.
    2. To facilitate and accelerate adoption of this functionality, LinkedCare validates doctor Users based on information (including documentation) received during registration.
    3. The User (necessarily a physician) undertakes to use this functionality in full compliance with all legal requirements and the rules defined by competent entities.
    4. It is the exclusive responsibility of the doctor User to observe all formalities with competent entities related to this functionality, and in particular to ensure their processing of patients' personal data complies with the DPDP Act and the terms of any authorisations, directions, or records issued by the Data Protection Board of India or other competent authority.
    5. LinkedCare only provides the electronic prescription functionality in its application, with no interference in the content of prescriptions made by doctor Users. The information entered, and all consequences of using this functionality, are the sole responsibility of the doctor User.

  5. Payments / Receipts

    1. Services provided through the LinkedCare application — namely non-face-to-face consultations (online or by phone) — are the responsibility of the stakeholders involved, whether doctor Users or citizens using the mylinkedcare application.
    2. Payments for these services are made directly by citizens to the doctors involved; LinkedCare is not a party to them. The LinkedCare and mylinkedcare applications act only as a means of facilitating these payments.
    3. LinkedCare does not record or store any bank details of the doctor User in connection with this payment process (e.g. bank account details).
    4. Payment for non-face-to-face consultations by a citizen using the mylinkedcare application can currently only be made by credit card. The appointment is confirmed after validation of the data entered by the citizen User, at which point payment is made.

  6. Data Retention

    1. LinkedCare retains personal data, including health data entered through the Electronic Health Record, Electronic Prescription, and related functionalities of the LinkedCare and mylinkedcare applications, for as long as necessary to provide the applicable services, comply with applicable legal, regulatory, tax, and professional obligations (including those applicable to doctor Users regarding medical records), and to resolve disputes or enforce agreements.

Health data entered by doctor Users into the Electronic Health Record and Electronic Prescription functionalities is retained for the period required under applicable medical records retention laws and professional regulations in the jurisdiction where the doctor User practises, and thereafter for as long as the doctor User's account remains active.
    4. Account and profile data (for both doctor Users and citizen Users of the mylinkedcare application) is retained for as long as the account remains active, and for a limited period thereafter as needed to comply with legal obligations, resolve disputes, and enforce agreements.
    5. Data may be retained for longer periods where required by law, requested by a competent authority (including under the DPDP Act), or necessary to establish, exercise, or defend legal claims.
    6. Upon expiry of the applicable retention period, personal data is securely deleted or anonymised, except where retention is otherwise required or permitted by law.

  7. Data Deletion

    1. Users (doctor Users, Assistant Users, and citizen Users of the mylinkedcare application) may request deletion of their personal data at any time by submitting a request to contact@linkedcare.com, identifying the account and the data concerned.
    2. Upon receiving a verified deletion request, LinkedCare will delete or anonymise the User's personal data within 30 days, except where LinkedCare is required or permitted to retain certain data — for example, health records subject to statutory medical retention periods, or data needed to comply with legal, tax, regulatory, or professional obligations, or to resolve disputes and enforce agreements. Where full deletion is not possible for these reasons, LinkedCare will restrict further use of the data to the purpose requiring retention and inform the User accordingly.
    3. Doctor Users should note that health data entered into a patient's Electronic Health Record is the doctor User's responsibility; where a patient (citizen User) requests deletion of their health data, the doctor User remains responsible for compliance with applicable medical records and data protection obligations before any such data is deleted from the platform.

  8. Regulatory Framework

    1. LinkedCare processes personal data, including health data, in accordance with India's Digital Personal Data Protection Act, 2023, and applicable directions of the Data Protection Board of India. Where LinkedCare's platform supports ABDM (Ayushman Bharat Digital Mission) functionality, data shared through that framework is additionally subject to ABDM's consent and interoperability standards — see our ABDM Integration page.
